Holiday Lighting CRM: Pipeline, Follow-ups and Renewals

A holiday lighting CRM has to know that the job comes down in January and goes back up in November. GlowBid Pro runs a pipeline with 8 stages, from Drafts through Invoiced to Takedown and Re-book, sends automatic follow-up texts until the quote is signed, tracks when the homeowner opens it, and turns signed leases into renewals. Pro is $499 a year at the founding price.

The board, stage by stage, with what moves the card and what fires on its own.

Why do Takedown and Re-book get their own stages?

Because the money stages end too early for this trade. Invoiced is where a generic CRM stops. A lighting customer then needs a takedown visit, a storage record if you keep their lights, and a re-install booking next season. Put those on the same board and nothing hides in a spreadsheet. Signed multi-year leases create each season's install job and takedown job on their own, so the Takedown column fills itself in January and Re-book fills itself in the fall. A comparison of generic and lighting-specific tools is in the best CRM for a Christmas light business.

How do automated quote follow-ups work?

You send the quote and the clock starts. If it is not signed after your set number of days, a reminder text goes out at 10 a.m. in your timezone with your company name, the quote link and a plain opt-out line. It repeats at the same interval up to the maximum you set, then stops. Texts run through Twilio. Consent is recorded when a homeowner gives a number, and a STOP reply opts them out on the spot. The wording and timing we use are in the quote follow-up sequence.

The follow-up sequence
TouchWhenWhat goes out
Quote sentWhen you send itQuote link by text or email; the waiting clock starts
ReminderAfter your set number of days with no signature10 a.m. your time: your company name, the quote link, Reply STOP to opt out
ViewedWhen the link is openedCard moves to Viewed on the board; the view is logged on the timeline
Last nudgeAt the maximum number of reminders you setWording changes to one last nudge, then the sequence stops
STOPAny timeSTOP, STOPALL, UNSUBSCRIBE, CANCEL, END or QUIT opts the number out; START, YES or UNSTOP opts back in

How does quote-view tracking help?

When the homeowner opens the quote link, the card moves from Sent to Viewed and the view is logged on their timeline. Now you know who is comparing prices and who never saw the text. Call the first one. Resend to the second. And never call someone who signed ten minutes ago. Pro includes up to 1,500 automatic texts per rolling 30 days, so the sequence runs all season without a per-text bill.

What happens with renewals and leases?

A signed lease carries its term of 1, 3 or 5 seasons and its price schedule: flat, declining rent-to-own or escalator. A renewal touchpoint lands in Re-book before the term ends, with the agreement, every quote and job, and your notes on the customer record. The renewal call starts from the file, not from memory. On Ultimate, a leased customer also gets a leased-lights record for what is in storage.

Is the texting built for CASL and US rules?

The plumbing is. Consent is recorded, every reminder carries your company name and a Reply STOP line, and the Twilio keyword list (STOP, STOPALL, UNSUBSCRIBE, CANCEL, END, QUIT) opts a number out immediately. What you write is yours. Wording that respects Canada's anti-spam law is in our CASL follow-up templates.

Questions installers ask

What makes this a holiday lighting CRM and not a generic one?
The stages. A lighting job does not end at Invoiced. It comes down in January and goes back up in November, so the board has Takedown and Re-book stages after the money stages. Signed leases feed both on their own. A generic CRM can be bent into that shape, but every stage, reminder and record here already speaks the season.
How do the automated follow-up texts work?
When you send a quote on Pro, the clock starts. Reminder texts go out at 10 a.m. your time, every set number of days, up to the maximum you choose, until the homeowner signs or opts out. Each text carries your company name, the quote link and Reply STOP to opt out. Texts run through Twilio with consent recorded and STOP handled on the spot. Pro includes up to 1,500 automatic texts per rolling 30 days.
Can I see whether the homeowner opened the quote?
Yes. When the quote link is opened, the card moves from Sent to Viewed on the pipeline and the view is logged on the customer's timeline. That tells you who is comparing prices and who never saw it, so you call the right one. It also stops the awkward call to someone who signed ten minutes ago.
What happens with renewals on a multi-year lease?
A signed lease carries its term, 1, 3 or 5 seasons, and its price schedule. GlowBid creates each season's install job and takedown job at signing, and a renewal touchpoint lands in Re-book before the term ends. The customer record keeps the agreement, every quote and job, and your notes, so the renewal conversation starts from the file, not from memory.
Is the texting compliant in Canada and the US?
The plumbing is built for it: consent is recorded when a homeowner gives a number, every reminder text carries your company name and Reply STOP to opt out, and STOP, STOPALL, UNSUBSCRIBE, CANCEL, END or QUIT opts the number out on the spot. START, YES or UNSTOP opts back in. What you write is yours. Our CASL follow-up templates show wording that respects the rules.

Core is the quoting loop without the CRM. There is a 7-day trial with no card and a 30-day money-back guarantee. US dollars.
